SUMMARY
A Junior Admin Assistant will mainly assist the Field Administrative Assistant in reviewing and preparing paperwork and documents associated with operational activities. He or she will also assist in updating project trackers of transport services and hotel accommodation as well as payments to service providers.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned by the direct supervisor.
- Maintain/update trackers of transport services and hotel accommodations of project staff and consultants,
- Maintain/update trackers of payments due to service providers including car rental companies, hotels, etc.
- Receive bills/invoices from service providers and prepare their supporting documents per relevant policies and procedures. Submit these documents to their supervisors for revision and further transmittal to Finance in due course.
- Review and verify Daily Vehicle Records (car logs) as well as expenses submitted by drivers and prepare monthly English trackers of project fleet use.
- Assist supervisor with reviewing and preparing weekly logistical plan in conformity with the master monthly plan set by head office administrator.
- Assist with the procurement of office supplies.
