وظيفة Administrative Assistant

تفاصيل الوظيفة
  • Managing travel arrangements in a time-effective way , including arranging complex itineraries / venues , & ensuring most effective use of executive level manger’s time
  • Screening and finalizing best offers for company with different hotels and travel agencies in terms of cost, services, etc…
  • Handling all travelling visas issuance for the sector team.
  • Hotel bookings for the sector team
  • Registrations for annual exhibitions and fairs
  • Prepare monthly report for the travel agency including monthly amounts to be paid.
  • Negotiating Annual contracts with the travel agency.
  • Sending and managing monthly billing report for SMS projects cross charge for relevant business units
  • Sending and managing monthly Innovations cross charging report to be cross charged for relevant business units along with the approvals.
  • Coordinating with SFC BU’s to ensure that all projects are done & billed.
  • Gathering financial data in order to support SMS finance team
  • Managing SMS & Innovations sector events & conferences ( Ramadan Iftar , Staff meeting ,.. etc)
  • Managing & handling conferences abroad in terms of all required logistics
  • Managing SMS field office ( supplies , maintenance follow up , stationeries , buffet needs )
  • Managing and handling SMS and innovation budget for the stationeries ( consumption  / purchasing)
  • Managing SMS and innovations buffet supplies ( consumption / purchasing )
  • Managing SMS & Innovations car Usage
  • Prepare documents for shipping the couriers and ensure receiving the best service them at the lowest cost.
  • Negotiating annual contracts with the courier agency .
  • Handling Vodafone mobile bills for the sector  .
  • Develop and organize full appropriate filling and data retrieval systems in order to ensure easy access for up to date information.
  • Follow up with custom clearance agency , and provide them with full required documents and prepare monthly report including monthly amounts to be paid.
متطلبات الوظيفة
  • Bachelor’s degree in relevant field (Business, Mass communication…etc)
  • Excellent knowledge of MS applications and English language.
  • 2-5 years relevant experience in the Administration field 
  • Maximum age 35 years old.
  • A resident of Cairo.
