Responsible for the management and coordination of all activities related to Head Office communication and Reception area.
- Distribute incoming and outgoing mail & faxes to departments and offices, including the weekly pouch.
- Receive and direct incoming calls as required.
- Maintain and update telephone & address lists/index of FMF internal & external contacts
Provide secretarial support to Head of Department :
- Maintain and regularly update the filing system for the correspondences and letter etc…
- Type English and Arabic documents as request.
- Coordinating interview appointments with candidates upon request
- Translate documents from Arabic to English and vice-versa.
- Handle all logistics related to outgoing international and national couriers.
- Preliminary research on the Internet upon request.
Responsible for the management and coordination of all activities related to domestic travel of Head Office Staff .
- Reserve, book and confirm accommodation and travel arrangement (train/ plane) for Cairo and Field staff, ensuring using the appropriate forms.
- Prepare hotel offers and reserve the approved venue for arrangement of workshops & conferences upon request
- Handle all workshops, seminars and staff meetings logistics ensuring efficient and timely preparation including; coffee breaks, lunch arrangements and equipment availability upon request.
